Job Title: Senior Operations Officer Reports to: Head of Business Operations

The Senior Operations Officer plays a key supporting role in maintaining the firm’s operational infrastructure. The role supports the smooth execution of business-as-usual (BAU) processes and contributes to the delivery of projects and ongoing compliance activities. Working closely with the Operations team, outsourced IT providers, vCISO, and internal stakeholders, this individual helps ensure consistent and effective implementation of IT, governance, information and cyber security, and data protection processes across the business. Key Responsibilities:

Project Management • Support the coordination of operational projects and initiatives, assisting with timelines,

documentation, and stakeholder communications. • Take a proactive, hands-on role in delivering project tasks. This includes drafting

documentation, conducting research, preparing presentations or reports, liaising with external vendors, testing processes or systems, and supporting implementation. Flexibility to switch between high-level coordination and detailed operational work is essential.

• Track project status, dependencies, and milestones. Prepare clear and concise updates for senior leadership and the Board, highlighting progress, risks, and mitigations.

Information Technology

• Act as a key point of contact for the firm’s outsourced IT provider for day-to-day IT operations (excluding helpdesk matters which are managed by the IT Administrator).

• Provide oversight and cover for helpdesk responsibilities as required. Information Security

• Collaborate with the operations management team and vCISO to implement and maintain the information security strategy.

• Contribute to the development and oversight of security policies and practices, including compliance with relevant certifications.

• Take a hands-on role in the day-to-day execution of information security initiatives. This includes conducting access reviews, supporting audits and assessments, maintaining asset and

risk registers, coordinating vulnerability remediation, and documenting evidence for control effectiveness.

Data Protection

• Assist in the maintenance and implementation of the firm’s Data Protection Policy and associated procedures. This includes keeping documentation up to date, supporting policy reviews, and helping operational teams interpret and apply data protection requirements in practice.

• Work closely with the in-house Data Protection Representative (DPR) to help maintain data protection compliance, including assisting with data subject requests and record keeping.

Policy and Procedure Development • Support the development, review, and maintenance of internal operational policies and

procedures to ensure alignment with the firm’s governance framework, regulatory obligations, and evolving business needs.

General Operational Support • Provide general administrative and logistical support to the Operations team to ensure seamless

day-to-day business operations. • Assist with maintaining relationships with third-party service providers, including reviewing

contracts, tracking service delivery, managing renewals, and ensuring value for money.

Reporting • Contribute to the preparation of operational reports, including management information and

periodic Board updates.

Qualifications and expertise:

• 5+ years of experience in an operational or administrative support role within financial services. • Some knowledge of these systems would be an advantage but training will be provided - Acumen, FIS

Investran, Google Workspace, Microsoft 365, and SharePoint. • A working understanding of GFSC requirements, Guernsey legislation, and good governance practices. • Prior exposure to or interest in areas such as information and cyber security and data protection is

required.

JOB SUMMARY As a Cloud Engineer, you will play a pivotal role in the digital transformation of our company. You will assist in the design, implementation, and maintenance of our cloud infrastructure on the Microsoft Azure platform, enabling us to leverage the power of cloud computing to drive business value. Working closely with our support team, data team, and security teams, you will ensure that our cloud-based systems are secure, scalable, and performant. This role is pivotal to business success.

KEY RESPONSIBILITES

Designing and implementing Azure cloud solutions, including virtual networks, storage, compute

instances, and other Azure services. Configuring and managing Azure services such as Entra ID, Azure SQL Database, etc. Automating deployment, scaling, and monitoring of Azure resources. Collaborating with the data team to optimize data storage, processing, and analytics solutions on Azure. Implementing and maintaining cloud security best practices, including identity and access management,

network security groups, encryption, and monitoring. Leveraging Microsoft Intune for modern device management, including policies, profiles, and application

deployment, to ensure a secure and productive workforce. Implementing Windows Autopilot for streamlined device provisioning and deployment, enabling

seamless onboarding of new devices into our corporate environment. Troubleshooting and resolving issues related to Azure infrastructure, services, Intune, and Autopilot.

JOB DESCRIPTION

Keeping abreast of the latest Azure technologies, Intune updates, and Autopilot features, and making recommendations for continuous improvement.

Liaising with senior members of the internal technical team and the group’s technology partners to resolve issues where assistance is required.

Job Title: IT Administrator Reports to: Head of Business Operations

The IT Administrator acts as the primary liaison between HFL staff and the external IT provider, providing first- line technical support while ensuring IT operations run smoothly and securely. This role includes responsibility for IT asset and access management, cyber security monitoring, vendor coordination, and support for operational platforms and online banking. The Analyst will also contribute to policy adherence and monitoring, compliance training, and information security best practices.

Key Responsibilities:

IT Support & Systems Access

• Serve as the first point of contact for all IT-related issues, delivering immediate and responsive support to minimise downtime.

• Set up new users with appropriate IT equipment, software access, and system permissions; manage leavers by revoking access, completing checklists, and collecting assets.

• Troubleshoot, and take ownership of, any IT related issues and see them through to resolution, escalating where necessary to ensure timely problem solving.

• Maintain and regularly review the user access matrix across all platforms, including banking systems, to ensure appropriate access rights and regulatory compliance.

• Manage and maintain the information asset register and physical asset register, ensuring they are up to date.

• Monitor and triage operations requests, resolving or escalating tasks as needed. • Provide induction training to new users on in-house applications.

Cyber Security & Information Assurance

• Work closely with the IT provider and vCISO to: o Review vulnerability reports weekly and coordinate with the IT provider to ensure timely

patching of all affected systems and devices.

o Run and report on phishing simulations in partnership with vCISO, including user response metrics.

o Maintain and review various cyber security related reports. • Coordinate the rollout of training each year, selecting relevant content and ensuring completion across

the business. • Record and circulate minutes of monthly vCISO calls, ensuring action points are tracked. • Manage ongoing tasks from the action list, including service account password resets, backup and

recovery testing, and regular access reviews.

Operational Tasks

• Maintain the IT knowledge base to support troubleshooting and knowledge sharing. • Maintain and manage the parking rota for staff use. • Review IT related invoices, confirming charges are correct and resolving any discrepancies.
