Billing Administrator – Guernsey / Jersey / UK / Ireland

Working as part of the Finance Billing & Collections team, the successful applicant will be responsible for supporting the business with the creation and distribution of invoices. The successful candidate will play a key role in helping drive process efficiencies and optimising the firm's working capital.

Key Responsibilities

• Responsible for the production of legal bills from initial creation through to distribution to clients
• Regular review of WIP balances with fee earners / other members of the Finance team to agree where bills can be raised
• Providing support to the business for complex billing requirements, including amendments to bills reversals, write offs and database amendments
• Act as subject matter expert for billing on the firm's practice management system and seek opportunities to improve utilisation of billing functionality and enhance internal processes
• Managing billing email inboxes and addressing emails in a timely manner
• Ensuring queries and escalations are handled correctly and promptly through to appropriate resolution, including handling queried invoices
• Implementing process improvements for new and existing matters
• Monitoring changes in invoicing requirements of clients and ensuring adherence to these requirements to support timely payment
• Liaising with clients to obtain matter/purchase order numbers, where required
• Collaborating with internal fee earning teams to ensure invoices comply with external counsel guidelines
• Providing ad-hoc support to the wider Finance team where required

Skills, Knowledge and Expertise

• Essential: Prior experience working in a billing role, preferably in a legal environment
• Essential: basic proficiency in the use of Microsoft Office
• Preferred: Experience using Aderant tools and automated workflows
• Highly diligent with an organised and timely approach to work, ensures attention to detail

Senior Administrator, Client Services

In this role, you'll be responsible for providing high quality administration for a portfolio of corporate and fiduciary clients with particular emphasis on the client service aspects of the business, delivering excellent client services levels at all times.  You'll be involved in the full life cycle of our clients, including the client take-on process and all aspects of the on-going administration of the client.

You will provide support to the department's management team in respect on ongoing day to day operational matters.

About the role

• Manage and be responsible for the administration of a diverse portfolio of corporate and fiduciary clients and ensure that client relationships and transactions are managed effectively and to a high standard.
• Ensure that you have an understanding of the transactions you are working on, provide technical support and training to the team as and when required.
• Ensure client expectations are effectively managed and valuable relationships are nurtured so as to maximise the reputation of the team in the marketplace and the potential for repeat work and referrals.
• Assist with the incorporation of Guernsey companies and any related work in respect of the acceptance of new business.
• Ensure timely processing of work, meeting transactional and internal procedural deadlines, recording time (if applicable) and managing WIP and debt collection.
• Ensure consistent high quality client service levels are adhered to across your portfolio of clients and deal swiftly with any identified issues.
• Be familiar with and act at all times in accordance with the firm's policies and procedures.
• Collaborate with the Risk and Compliance team, ensuring all client due diligence is processed accurately and client reviews are up to date and keeping abreast of all relevant regulatory changes and industry standards.
• Assist with the ongoing data input and maintenance within the corporate services practice management database.
• Maintain CPD levels required for your role.
• Any other ad hoc duties as required.

About you – essential requirements

• Proven experience in a relevant role, with a demonstrable understanding of corporate, trust and fiduciary services principals and concepts.  
• Excellent organisation skills with a clear focus on prioritisation and the ability to work to tight deadlines.

• Identifies opportunities for continuous improvement, process efficiency and automation.
• Be part or fully qualified with STEP or ICSA and possess a keen interest in continuous personal development.
• Knowledge of specialist industry software e.g. Document ManagementSystems (Worksite) and Viewpoint will be an advantage.

Litigation Senior Associate - Jersey

To work as part of the team providing a full range of litigation services to the clients of Bedell Cristin, Jersey.  To take principal charge of work assignments within the team, with minimal partner intervention.  This will entail extensive direct client contact, being responsible for the supervision of junior legal assistant(s) and taking an active role in the identification and implementation of new business initiatives. Working with the Partners to grow the business by assisting with the development and implementation of the Group’s strategic plans for the particular work area.

Key Responsibilities

• To take responsibility for the management and co-ordination of client work as delegated by the Partners, including but not limited to, researching, writing opinions, reviewing documentation, drafting, preparing cases for court.
• To ensure all clients receive a high quality, timely and professional service to meet their needs.
• Take personal responsibility for achieving target hours, proactively manage billings and debtors and record time in a consistent way.
• To assist as required with the motivation, management and development of other fee earners and support staff in the work area.
• Assist in the promotion, development and implementation of the practice area business plans.
• To support the Partners in building an efficient team structure (this may include involvement in recruitment).
• Assist in the promotion and development of our global litigation team by working with partners and associates across our jurisdictions and engaging in business development and know how activities.
• Support new ventures, identify cross selling opportunities and seek ways to develop our services and client base.
• Manage such other activities/projects as may be required by the Partners from time to time.
• Adhere to all policies, procedures and regulations as required and manage risk exposure in accordance with the firm's policies and procedures.

Qualifications

• The right candidate is likely to be 6 yrs+ PQE with a Jersey, UK or Commonwealth qualification.
