Position Summary:
This role reports to the Director / Head of Administration and has the following key responsibilities:
Management of a team of administrators in all aspects of trust and company administration and the day to day running of the team and its systems;
Hold the necessary skills and understand the specific requirements to become a filter / solution provider between administrator and client service director, working towards becoming the primary relationship role on a portfolio of clients;
Improve team profitability through efficient and effective analysis or reporting;
Work to improve team accuracy and reduce error rate;
Identify, resolve and implement measures required in order to personally meet and for underlying team to meet targets set by Directors
Take part and contribute to internal committee meetings where required;
Assist the Trust Director / Head of Administration to ensure that the team’s billable and other targets are met and that all internal and regulatory requirements are adhered to;
Become familiar with all clients within the team and take responsibility for the day-to-day management and administration of an allocated portfolio of clients;
Manage and delegate tasks to the team members and assist them with tasks and training as appropriate; and
Handle and resolve complex/unusual operational and managerial problems that are referred to from above and below with support from the Directors.
Specific Duties:
Assist with the development of NSM offerings including the introduction of any products / services developed in all areas of the business
Build and maintain solid relationships with clients and intermediaries;
Responsible for meeting deadlines whilst providing high standards of client service;
Assist with the NSM Group marketing effort through building relationships with and sourcing potential introducers of work
Maintain an up-to-date knowledge of regulatory requirements for the Company’s clients;
Ensure that debtors are kept to a minimum and to provide details to senior management as and when required;
Be involved in the preparation of, and attendance at client meetings (leading where possible) and follow up on action points;
Consult and escalate issues and exceptions to the Trust Director / Head of Administration to alleviate problems or risks;
Assist with the provision of regular management information to the Head of Administration and Senior Management which clearly identifies the progress and position of the team;
Responsible for ensuring/facilitating the training and development of administration staff in the team as and when required;
Manage the team with the support of the Directors and attend management meetings as and when required;
Contribute towards the enhancement /development of internal practices and procedures and assist with the implementation of new processes and procedures affecting the client relationship and operational matters;
Assist with communication of change and provide support for its implementation;
Provide a point of contact for the channelling of information, projects and change;
Provide daily support with the management of the trust administration teams for which you are responsible and to suggest and implement change as required; and
Completion of performance and objective reviews for team members when required
Other Requirements:
The successful candidate will ideally have:
A relevant professional qualification eg STEP or ICSA;
A minimum of 10 years relevant experience in the trust industry
Demonstrated a sound knowledge of trust and company administration, recording of financial transactions, understanding of financial reports and relevant regulatory requirements;
A proven track record of client service excellence;
Evidence of successful client engagement experience;
Demonstrated ability to meet billing/cash collection targets and deadlines;
Demonstrated ability of team oversight to include meeting relevant KRI’s;
Demonstrated strong communication, interpersonal, influencing and negotiation skills;
The ability to drive and execute tasks and manage others to do so;
The ability to foster collaboration and teamwork; and
Previous management experience is essential
