Summary

As a Senior Administrator / Assistant Manager within Fund Solutions in Jersey, you will be a senior point of contact for a portfolio of fund structures, coordinating governance, investor communications, and operational deliverables. You will help ensure high-quality service, support billing and payments workflows, and contribute to process and system improvements.

Key responsibilities

• Act as a senior day-to-day contact for clients and investors, responding to queries in a timely and professional manner
• Coordinate quarterly and ad-hoc governance activities, including preparing agendas, board packs, and meeting minutes
• Support and process client payments in line with internal controls, approvals, and service level expectations
• Facilitate investor communications and scheduled reporting distribution, ensuring accuracy, completeness, and deadlines are met
• Maintain and update operational logs and records (e.g., invoices, static data, investor queries, and action trackers)
• Prepare scheduled billing and lead the client invoicing process, including follow-ups and query resolution
• Assist with interim and annual external audits, including coordinating requests and providing supporting documentation
• Contribute to the implementation, testing, and rollout of internal systems and process enhancements across Fund Solutions
• Identify opportunities to improve efficiency and service quality within fund administration processes and team workflows
   

Required Qualifications

• Relevant experience in fund administration, company secretarial administration, or a comparable financial services environment
• Ability to work independently, manage competing deadlines, and use sound judgement to escalate issues appropriately
• Strong attention to detail, with a commitment to delivering accurate client and investor reporting
• Clear written and verbal communication skills, with confidence liaising with clients, investors, and internal stakeholders
• Proficiency with Microsoft Office (especially Excel and Word) and comfort working with operational systems and logs
• A proactive, service-led mindset with a focus on quality, responsiveness, and continuous improvement
   

Preferred Qualifications

• ICSA / CGI qualification (or working towards), or equivalent professional development aligned to governance/administration
• Prior experience preparing board packs and supporting governance meetings for fund structures
• Experience supporting billing/invoicing processes and/or payment workflows within a controlled environment
• Exposure to audit support activities for fund entities and coordinating information requests
• Familiarity with process improvement, system implementation, or change initiatives within fund solutions or fund administration

About the Role

Duties and Responsibilities:

The Assistant Client Relationship Manager will take pride in helping to manage client expectations and helping to provide efficient, timely and high-quality administration services. The role holder will assist the team in ensuring our clients are serviced in an effective and pro-active manner.

• Assisting the team in providing a high level of professional service to a varied portfolio of client relationships and attending generally to fund and corporate structures
• Processing payments and ensuring that trackers, logs and checklists are updated and maintained throughout the process
• Working with other team members in the preparation for board meetings, assisting in drafting reports, collation of papers etc
• Assisting in the drafting of the board meeting agenda, drafting simpler minutes and written resolutions

• Assisting in the processing of Capital Calls and Distributions – monitoring the flow of cash and reconciling bank accounts accordingly

Manager, Real Estate (SPV Services) - Jersey

We are looking for a Manager to join our Jersey SPV Services team, supporting the administration of real estate structures for joint ventures, funds, and long-term asset holding vehicles. You will manage a portfolio of clients with complex structures and high-value underlying assets across sectors such as office, retail, industrial, hospitality, residential, and development. This role combines technical oversight, client relationship leadership, and people management to deliver high-quality fiduciary and corporate administration services. You will also contribute to operational improvements and the team’s growth objectives in the Jersey market.

Key Responsibilities

• Manage a portfolio of Jersey real estate clients, ensuring consistent delivery of corporate/fiduciary administration services aligned to internal standards and service levels
• Lead and maintain strong relationships with clients, intermediaries, and key stakeholders through proactive, clear, and timely communication
• Oversee statutory and governance deliverables, including the preparation/review of returns, approvals, resolutions, and accurate recordkeeping
• Chair or support client meetings; produce/review agendas, minutes, resolutions, and associated administration within agreed timeframes
• Act as a technical reference point within the team (real estate structures, corporate governance, and Jersey regulatory expectations), sharing knowledge and coaching colleagues
• Support the Associate Director/Director with team leadership activities including mentoring, performance support, resourcing, onboarding, training, and adherence to policies and procedures

Required Qualification

• ICSA/STEP/ACCA qualification (or equivalent relevant professional qualification)
• Proven experience in fiduciary, corporate, or real estate administration, including managing complex structures and client portfolios
• Strong working knowledge of corporate governance and statutory obligations in a Jersey/Channel Islands environment
• Demonstrated people leadership skills, with the ability to coach, develop, and motivate colleagues at different levels
• Strong communication and stakeholder management skills, including confidence engaging with demanding clients and intermediaries
• Strong judgement and problem-solving skills, with the ability to assess options and recommend practical, compliant solutions

Preferred Qualifications

• Experience administering Jersey real estate funds, SPVs, joint venture structures, or multi-entity groups holding real estate assets
• Familiarity with Jersey regulatory expectations and industry best practices for client due diligence and ongoing monitoring
• Experience supporting commercial aspects of client management (fee quotes, budgeting inputs, billing cycles, and service improvements)

About the role

The purpose of this role is to deliver client accounting deliverables for private equity, private credit and/or real estate fund structures.

Key responsibilities include:

• Reviewing a range of financial transactions processed by Junior Accountants;
• Bookkeeping financial transactions for a defined portfolio (more complex than for Junior Accountants);
• Preparing bank reconciliation and general ledger reconciliation;
• Preparing Treasury and liquidity reporting;
• Bridging facility management and compliance reporting;
• Preparation of drawdown and distribution notices for the funds;
• Supporting the tax advisor with the preparation files to support VAT and Corporate tax returns;

Role Overview

This is a senior individual contributor and people-management role responsible for the end-to-end delivery of net asset value calculations and fund valuations across ZFS’s administered structures. The successful candidate will take day-to-day ownership of the valuations function and work closely with senior leadership to build the capability and infrastructure required to support a Head of Valuations appointment — which this role is explicitly designed to develop into.

Key Responsibilities

Valuations & Technical Delivery

• Lead and oversee all stages of net asset value calculations across a diverse range of fund structures, ensuring accuracy, completeness, and timeliness
• Prepare, review, and maintain core financial records including general ledgers, trial balances, and supporting schedules
• Interpret and apply fund documentation — including prospectuses, limited partnership agreements, and subscription documents — and assess the impact of legal and regulatory obligations on NAV calculations
• Review and approve bespoke financial reports for clients, managing deliverable quality and deadlines in accordance with service level agreements
• Oversee reconciliation processes, fee calculations, and accruals, implementing controls to minimise errors and exceptions

• Manage a team of eight valuations professionals spread across two jurisdictions, providing day-to-day direction, workload allocation, and performance oversight
• Act as the primary escalation point for technical queries, complex fund structures, and client issues arising within the team

• Contribute to the recruitment, onboarding, and retention of valuations talent as the business continues to grow
• Collaborate with the Head of Operations to evolve the team structure and build capacity ahead of the Head of Valuations transition

Client & Stakeholder Management

• Act as a senior point of contact for a portfolio of clients, building trusted, long-term relationships through consistent delivery and proactive communication

Desired Qualifications & Experience

• A minimum of 8 years’ experience in fund administration, with at least 2 years in a supervisory or management role within a valuations team
• Hands-on experience with a broad range of fund structures: fund of funds, private equity, venture capital, equity, and debt
• Proven experience using fund administration systems — experience with Paxus is essential
• Proficiency in Microsoft Office applications, in particular Excel
• A relevant professional qualification is preferred; candidates working towards qualification will also be considered
• Familiarity with Guernsey regulatory frameworks and relevant international fund regulations
