Overview

Responsible for the management of a designated section of the Savills CI Ltd property portfolio, ensuring effective financial control, client reporting, and full compliance with relevant regulations and best practice.

Key Responsibitilities include but are not limited to:

Rent & Service Charge Management

• Approve monthly service charge payment runs.

• Approve quarterly rent and service charge demands prepared by the Accounts Administrator.

• Ensure rental income is transferred to the landlord in a timely manner, deducting any non- recoverable landlord expenditure prior to remittance. Where separate rent accounts operate, ensure transfers reconcile fully with bank balances.

• Prepare the annual service charge budget, liaise with the landlord to obtain approval prior to year- end (in line with RICS best practice where applicable), and issue to tenants.

• Ensure year-end service charge reconciliations are completed within a reasonable timeframe (in line with RICS best practice where applicable) and issued to both landlord and tenants.

• Apportion annual TRP and Parish Rates bills, instruct the Accounts Administrator to post tenant recharges on Qube and raise invoices accordingly. Ensure TRP invoices are paid on time and/or landlord reimbursement is arranged where required.

• Notify the agency team of upcoming lease expiries, rent reviews, and other key lease events across the managed portfolio.

Client Reporting:

• Prepare and issue regular property management reports to clients (minimum six-monthly or as required).

• Attend landlord/client meetings as required.

• Maintain accurate and up-to-date tenancy schedules for each property and circulate to clients alongside management reports (minimum six-monthly).

Property Management & Compliance:

• Act as the primary point of contact for clients.

• Complete new tenancy forms and instruct Accounts Administrators to update Qube accordingly.

• Oversee annual building insurance renewals: liaise with brokers, obtain landlord approval, arrange tenant recharges via Qube, ensure premium payment, and arrange landlord reimbursement where necessary.

• Oversee and manage insurance claims.

• Ensure the Property Manager conducts regular property inspections.

• Oversee compliance-related maintenance to ensure statutory requirements are met (property manager responsible for day-to-day organisation and oversight).

• Support and oversee the property manager with reactive maintenance works where required, ensuring works are completed within reasonable timeframes or in accordance with the lease.

• Attend tenant meetings with the Property Manager as necessary.

This role sits within BWCI’s regulated Insurance Management and Brokerage business

and is responsible for supporting the delivery of insurance management and broking

services across a portfolio of clients.

Initially, the role will focus on a small number of key general insurance clients,

including home and healthcare programmes, managing the day-to-day policy

administration, claims, reinsurance reporting and operational processes in line with

management agreements and service levels.

The role will also support a range of South African life insurance clients, including

branch and multinational structures.

Over time, the role will expand to include greater involvement in broking activities

and wider insurance management client work.

What you would be doing

You would support the Insurance Management and Broking teams in delivering

high-quality services to BWCI clients, with responsibility for defined operational
